What the invoice OCR extracts
A usable invoice archive is more than a pile of scans. MagicPaper looks for the sender or supplier name, the document date, the document type, the total amount, the VAT amount and the currency. Those are the same fields you see on an invoice inside the app. If a line is missing or the scan is faint, you edit the field instead of retyping the whole page.
Printed invoices are the most reliable. A handwritten note on an otherwise printed bill is still included in the text extraction, so a purchase order number written in the margin is not thrown away. MagicPaper does not replace your accounting software. It keeps the source document and the fields you need to find that document again.
From a photo to a filed invoice
Drop in a file or take a picture. Accepted formats are PDF, JPG, PNG and HEIC, including a photo taken on a phone. The AI runs OCR, decides the page is an invoice rather than a contract or a receipt, and fills the metadata. On a typical page the analysis is built to finish in a couple of seconds.
After that, the invoice is searchable by supplier, amount or words that appeared on the page. You can add a reminder so a due date does not disappear into a folder. Multi-page PDFs stay one document: you are not asked to split every page before upload. Quotes and credit notes can be filed the same way when you want the commercial paperwork next to the invoice it belongs to.
Languages and who it is for
The OCR reads English, French, German, Italian and Spanish, and the interface is available in those same five languages. A French supplier invoice uploaded from an English account is still read as French. That matters if you pay vendors in more than one country and do not want a separate scanner for each language.
Freelancers use it to stop losing PDF invoices in an email inbox. Households use it for the few bills they must keep. Small teams use the same upload, then share a document inside their organization when more than one person needs the file. The free plan is enough to test the flow: 10 pages per month and 200 MB of storage, with no credit card.
Encryption before the file is stored
Invoices contain bank details, tax numbers and customer names. MagicPaper encrypts each document with AES-256-GCM in your browser, before the file is stored. Only you can decrypt it. Staff cannot open the page to read the supplier or the amount. The same protection applies to contracts and receipts, so an invoice is not a special, weaker case.
When the volume grows, a paid plan raises the page allowance and the storage. Compare plans on the pricing page, or create an account and upload the first invoice. Does invoice OCR work on a phone photo?
Yes. JPG, PNG and HEIC photos are accepted, as well as PDF. A clear, well-lit page gives the best sender, date, amount and VAT extraction. You can correct any field after the scan.
Which invoice fields are extracted?
Sender, date, document type, total amount, VAT amount and currency, when they are visible on the page. The full text remains searchable even when a single field is blank.
Can MagicPaper staff read my supplier invoices?
No. Documents are encrypted with AES-256-GCM before they leave your browser. Only you can decrypt them.
